The challenge
The business needed a system that removed repeated manual work while still respecting the real operating process. Instead of forcing a generic template, the automation was designed around the actual flow of leads, conversations, records, approvals, service steps, and follow-up actions.
The solution architecture
The system combines workflow automation, persistent data storage, API integrations, and business rules. n8n handles orchestration where external systems are involved, while Zoho, PostgreSQL, or AI agents handle state, records, and decision-support depending on the project.
Architecture flow
Inbound source → automation workflow → validation and enrichment → CRM/database update → notification or next action → reporting/audit trail.
Key technical decisions
- Use structured data and persistent storage so automation can resume, audit, and report reliably.
- Use AI only where it has a clear business job: qualification, reply generation, storyboarding, or prompt correction.
- Keep humans in the loop at handoff points such as quote requests, approvals, invoicing, or final review.
